Operations for bookings and dispatch, quotes and priced job cards, invoicing with multi-rate VAT, bays that know what is on the lift, typed inspection forms with failure workflows, and a roster for the week.
This is the largest release Yipii Mobility has had: a complete Operations module for taking bookings and running the day, a workshop that quotes, prices and bills line by line, invoicing that handles more than one VAT rate and part payments, inspection forms that ask the right kind of question, and a phone that tells your drivers what they owe you.
Operations: Take the Booking, Run the Day
A console built for the phone call
Operations gives your office a booking console designed for taking a job while the customer is still on the line. Stops can be added and reordered from the keyboard, a dropped pin names itself from your own places, a return journey is booked as its own trip rather than a note, and the fare is worked out from your price list as you type. If somebody rings about an existing job, you can find it from the console without leaving the booking you are in, and a console that is interrupted picks up where it left off.
An allocation board that thinks in vehicles and bays
The allocation board lays out the day as resources against time. Allocate by driver or by vehicle, whichever way your operation thinks, and the board shows who is not working and which vehicles are off the road before you give them a job. A job states what it needs, such as seats, luggage or a type of vehicle, and the board only offers vehicles that can do it. Unallocated work waits in Planning, where a garage can look across the whole week rather than one day at a time.
One list of all the work
Every booking, trip and bay job now sits in one searchable list, with what each job came to and how it is being settled. Cancellations carry a reason, each job keeps a history of who changed what, and a stop on a multi-drop run records its own outcome, so a round of twelve drops where two failed says exactly that.

Booking Forms and Customer Messages
Your own booking page
Every operator now has a public booking page with their own logo, which you can share as a link, embed on your website, or connect to through the API. You can also give a regular client a booking form of their own, scoped to the work you do for them. Forms can take journeys or bring vehicles into a bay, and once a section is answered it folds away so the customer is never faced with a wall of fields.
Customers are told what is happening
Bookings now send the messages customers expect: a confirmation, a reminder, and a note when their vehicle is ready, with a calendar file attached so the appointment lands in their diary. The same messages go out however the work came in, whether from the public form, a client form or your office. Where a message could not be sent, for example because no email address was given, that is recorded rather than lost, so you can see who has not heard from you.
Workshop Bays That Know What Is on the Lift
Sell time in a bay like a seat in a car
Wash bays, ramps and lifts are now work areas with their own capacity and calendar. Customers can book a service slot online, and your office has a bay console to take bookings over the counter, start the work and finish it. Both see the same availability, so a slot is never sold twice.
Jobs hold their bay too
A job raised at the counter, from a scheduled inspection or from an accepted quote now holds its bay for as long as its labour says it will take, not only a diary booking. The allocation board shows the job on the lift, and the public form will not offer that time to somebody else.
Clocks that agree across devices
A mechanic can pause and resume work on a job from any device, and the pause is kept on the server, so a job started on the office desktop and paused from a phone shows the same clock everywhere. Two technicians on the same job keep two separate clocks, and a lunch break no longer counts as an hour of labour.
Quotes and the Priced Job Card
Send a quote the customer can accept online
A repair can now be quoted before it becomes a job. Build the quote from the same parts and labour lines a job card uses, send it to the customer as a secure link, and they can accept or decline it from their phone. Once sent, a quote is fixed; a change becomes a new version, and you can withdraw a link at any time. A quote can even be written for a customer's vehicle that is not part of your fleet.
A job bills as its lines, not one figure
Every part and labour line on a work order now carries a sale price, a discount, a VAT rate and a line total, alongside the cost you have always recorded. Part quantities can be fractional, so 2.5 litres of oil is an ordinary line. Accepting a quote turns it into a job straight away, and any difference between what was quoted and what was done is shown on the job card rather than hidden. Whether staff can see costs and margins is a setting you control.
Work in progress, and the money not yet billed
A new Work In Progress view shows open jobs by value and age, and highlights finished work that has not yet reached an invoice, each figure opening the jobs behind it.
Pricing That Matches How You Sell
Price lists read top to bottom
Rate cards are now a grid you read from the top, with rules that can say when they apply. Zones show what they contain, and an included allowance can be set with a rate for anything beyond it. The fare remembers what the card said, so if somebody charges a different amount the booking records by how much and why.
Add-ons, discount codes and waiting time
Add-ons are proper lines on a booking rather than a sentence in a note, and they can be limited to the jobs and vehicle types they fit. Discount codes and standing rates for regular customers are built in. Waiting time can be recorded against a job and billed, including deciding who pays for it when one vehicle carried several parties.
Invoicing, VAT and Getting Paid
One invoice, more than one VAT rate
Invoices can now carry several VAT rates on one bill, with a tax summary by rate. A garage that also runs airport transfers can send a single invoice with a zero-rated transfer and standard-rated labour on it. Rates are set once for your account and can be overridden per customer, per job and per line. The same VAT handling now applies to expenses, fuel and purchase orders.
Every kind of work can be billed
Journeys, bay bookings and workshop jobs can all be invoiced, and a bill can be paid in parts, with the outstanding balance always correct. Cash taken by a driver or at the counter is recorded against the job and confirmed by a manager before it counts, drivers can be paid out, and commission owed to the people who send you work is tracked.
Credit limits and chasing late payment
Each customer's balance is visible on screen, and you can set a credit limit that warns, or if you choose, stops a new booking. When you are ready, the platform can chase overdue invoices for you with statements and a sequence of reminders. Chasing is switched off until you turn it on, so no customer receives a reminder you did not intend.
Contacts and Customers
One place for everyone you work with
A new Contacts screen holds your customers, companies and suppliers, with parent companies, roles, multiple addresses and email addresses, VAT and company registration numbers, and logos. Each contact has a history of the work they have booked, and a supplier linked to a contact shows the work it has actually done for you. Phone numbers are entered with a country flag, and address search uses Google Maps, favouring places near you.
Inspection Forms That Ask the Right Question
Nine kinds of item
An inspection item is no longer just a tick box. Templates can now include pass or fail checks, photos, signatures, free text, numbers, dropdowns, dates and times, and meter readings, grouped under sections such as Tyres or Bodywork. Each item carries its own wording and its own validation, so the answer you get back is the kind of answer you asked for.
Failure workflows you control
Decide what happens when an item fails: raise an Issue, notify people, change the vehicle's status and more, for the whole template or only for specific items. Switch a rule off and it stops acting immediately. A new failures queue lists every failed item across the fleet, filtered and sorted, and names the rule that acted on it.
Schedules that keep up with your fleet
Inspection schedules can now be defined by rules, such as all vehicles, a vehicle type or a group, instead of a fixed list typed in once. A van bought next month is on the daily walk-round automatically, and any vehicle you exclude stays excluded. The schedule describes itself in plain language as you build it. We also fixed a fault that could make scheduled inspections appear already complete.
A Roster for the Week
The week as a grid
A new roster screen shows who is working when, with shifts you can draw where they go and resize by dragging their ends. A day can be marked as leave, sickness or pencilled in, and an absence request changes nothing until it is approved. Copy a week forward in one action, and the roster knows who is employed for the week it shows.
Drivers are told when their week changes
When you change a driver's upcoming shifts, they receive one notification once you have finished editing, however many shifts moved, naming their next shift. The driver page now shows how somebody is employed, and you can grant a driver their login straight from their page.
Compliance and the Driver's Phone
Required documents
In Settings, choose which documents each driver and vehicle must hold. The platform then asks for anything missing and keeps the request up to date as documents arrive. Nothing is requested until you tick a box, so you decide when it starts.
Review, replace and receipts
When a driver uploads a document, it becomes a review task for someone in your office, and the driver is told the outcome. An expiring or rejected document can be replaced from the driver's phone, and the old one is kept as a record rather than deleted. When a vehicle is refuelled, the assigned driver is asked for the receipt from the Today card on their phone.
One inbox, and work that always has an owner
Drivers now have a single notification inbox shared across both Yipii apps, so nothing is split between two lists. Work created automatically, such as tasks, scheduled inspections and jobs from accepted quotes, now goes to a default person you choose, or to your first administrator if you have not chosen one, so nothing sits unassigned.
Everyday Improvements
Faster to use, safer to undo
Ordinary deletes can now be undone for a few seconds instead of asking you to confirm first. Lists support bulk actions, a single search covers all your work, and pressing the question mark shows the keyboard shortcuts. Documents, licence scans and receipts open inside the product rather than in a new tab, so you can check a file without losing your place.
Better on your phone
Mobility now has a proper bottom navigation bar on phones, matching the IoT app, and the booking console folds into cards with the fare pinned in view. Reports are now listed by the question they answer, such as which vehicles are using the most fuel, so the right one is easier to find.
